Job Position Description

Position Title: Receptionist

The Receptionist has the following Duties:

  1. Will be the first point of contact for the company
  2. Serve visitors by greeting, welcoming, directing and announcing them appropriately
  3. Answer, screen and forward any incoming phone calls while providing basic information when needed
  4. Receive and sort daily mail/deliveries/couriers
  5. Maintain security by following procedures and controlling access via the reception desk
  6. Update appointment calendars and schedule meetings/appointments
  7. Perform other clerical receptionist duties such as filing, photocopying, collating, faxing and light accounting duties
  8. Provide administrative support throughout the organization
  9. Will handle the flow of non-personnel through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner
  10. Demonstrates ability to tactfully handle difficult situations
  11. Consistently demonstrates ability to recognize and deal with priorities
  12. Performs duties in an independent manner with minimal direction and supervision
  13. Recognizes and performs duties which need to be performed, although not directly assigned, assisting others as needed
  14. Adheres to the provisions of the Employee Policy and Procedure Manual
  15. Seeks guidance and direction, as necessary, for performance of duties
  16. Respects the confidentiality of company, customer and personnel information
  17. Does not abuse or take advantage of personal days off or office hours
  18. Always provides proper notification & advance notice of absence
  19. Adheres to all company safety policies
  20. Respects others workspace

General Capability Requirements:

  1. Proven working experience in an office environment
  2. Proficient with Microsoft Office Suite
  3. Professional appearance
  4. Solid communication skills both written and verbal
  5. Ability to be resourceful and proactive in dealing with issues that may arise
  6. Ability to organize, multitask, prioritize and work under pressure
  7. High school degree

The performance of the Receptionist will be graded and measured on the following criteria: Job knowledge, effective and efficient use of time, neatness and reliability.

This position will be evaluated on the overall ability to provide support to the Office Manager and other peers. The individual in this position reports directly to the Office Manager. This position currently has no direct reports.
